Volunteering
We cannot run a successful meet without parent volunteers! All families must sign up for 4 shifts (where one shift equals one-half of a meet) in order to complete the registration of their swimmer(s) for the 2025 season.
If parents fail to show up for their volunteer job, a $100 fine will be assessed per volunteer job missed. Your swimmer(s) cannot participate in ANY SWIM TEAM ACTIVITY until the fine is paid. It is the responsibility of the parent to find a substitute for any volunteer job that they are unable to fulfill.
Parents who have volunteered for a job at the swim meet need to check in upon arrival and pick up a name tag. A swim meet cannot start without all volunteers in position.
The swim meet is organized into a first half and a second half. Swimmers 8 & under are finished after the first half. Pay attention to the starting time for your volunteer position. If you are assigned a second half job, plan to report during event 26. We ask that parents with multiple older swimmers or only swimmers aged 9 and up sign up for our second half shifts (or clean up) whenever possible. While this is not mandatory, it is strongly encouraged to ensure we have appropriate coverage.
Descriptions of jobs are as follows:
Cafe Cashier/Server
- Home meets only.
- Helps the Cafe Manager set up, operate, and clean up the cafe.
- Expected to arrive by 4:30 pm and stay in the Cafe through the first half (with the exception of watching your child swim).
- The Cafe is located in the tennis pavilion.
Clerk of Course Assistant
- As events are called, clerk assistant moves the swimmers through the clerk of course to the starting blocks
- This position is required at all meets.
- This volunteer position is for an individual that does not get flustered by chaos and lots of kids.
Computer Assistant
- This position is required at all meets.
- Assists the Computer Representative with duties during and after each meet.
- Works with the Computer Representative to enter and verify timecard information into the computer to generate meet results.
- Second half assistant may need to stay shortly after the meet concludes.
Deck Chair Minder
- Home meets only.
- Works with Clerk of Course to place swimmers in the proper chair and lane before their heat.
Donut Parent
- Required for all meets.
- Orders Krispy Kreme donuts the day before the meet.
- Picks up donuts from Krispy Kreme the morning after the meet.
- Delivers donuts to the pool by 8:30AM for the first practice group.
- Is available to distribute donuts to swimmers after practice.
False Start Rope
- Home meets only.
- Sits pool side during the shift to maintain the false start rope.
- Quickly responds to the Referee’s whistle to stop the event by dropping the false start rope into the pool.
Head Timer/Head Timer Assistant
- Required at all meets
- Starts two stopwatches for each event in case a lane timer’s watch malfunctions.
- If a timer has a watch malfunction, they will raise their hands and the Head Timer will bring one of the extra watches to them immediately.
- Will be a back- up timer or have a back-up timer assigned at all times.
- Will assign one timer per lane to record times on the swimmer’s Lane/Timer sheet. They will also ensure that the timers have the proper Lane/Timer sheet before an event is started.
Lollipop Parent
- Home meets only.
- Stands at the finish end of the pool for each event to see who touches the wall first and give the heat winner a lollipop.
Meet Setup Workers
- Home meets only.
- Morning volunteers work from 9AM to 11AM on the morning of the home meet.
- Afternoon volunteers work from 3:30PM to 6PM on the afternoon of the home meet.
- Helps the Meet Director set up for the meet.
- Heavy lifting will be required.
On-Call Volunteers
- Required for all meets.
- Replaces any volunteer that is not available to fulfill their duties.
- Must be available through the entire shift to fill in as needed.
Ribbon Workers
- Required for all meets.
- Prepares the ribbons for swimmers by attaching labels to the appropriate ribbon.
- Sorts and files ribbons into the correct swimmer’s folder.
- Ensures that each team receives their award ribbons at the end of the meet.
- Works at a table away from the pool; might be required to keep working for a short while after the meet concludes.
Runners
- Home meets only.
- Collects the Lane/Timer sheets from timers and delivers them to Table Workers.
- Work with Strokes & Turns Judges to take DQ cards to the Referee for signature and deliver them to Table Workers.
- The job title is very descriptive – this position keeps you moving around the poolside.
Swimmer Check-In
- Required for all meets.
- Arrives by 4:00PM to check-in swimmers as they arrive.
Table Workers
- Required for all meets.
- Reviews lane/timer sheets after each heat, sorts them according to time, and delivers sheets to the computer rep.
- Posts printed meet results as the computer rep provides.
Timers
- Required at all meets.
- Required to attend Timer’s Meeting prior to the meet; new timers will be trained during this meeting.
- Will be provided with two stopwatches at volunteer check-in.
- Will be assigned to a swim lane with two other timers (three total timers per lane); lane assignment is listed on volunteer name tag.
- Verifies name of swimmer with the name on the timesheet.
- Uses a stopwatch to accurately time the swimmer in their assigned lane from start to finish.
- One timer will be assigned to write down the three times for that lane.
- All three times are recorded, and the middle time becomes the official time.
- Timing gives you the best view of the pool and swimmers during their races.
Volunteer Check-In
- Required for all meets.
- Arrives by 4:00PM to check-in volunteers as they arrive.
- Reports volunteer vacancies to Parent Rep so that all positions can be filled.
